Set Up Guide & Usage

To Set Up Your Voice Mail Box:

1. Call the voice mail system:

  • For 7902-7911 model phones: Press the MSGS softkey or dial 7000.
  • For 7920-7922 model phones: Dial 7000.
  • For 7940-7962 model phones: Press the Messages button or dial 7000.

2. Enter your default password (for setup purposes only): 113355 #

3. Follow the system prompts. You will record your name, a personal greeting, and set a new person security code (password). When done, press #.

  • For information on recording your voice mail greeting, please see the "Voice Mail Policy."
  • Note: Your security code must be 5-7 digits long and cannot be numbers in consecutive order (such as 12345), the same digits as your extension, and cannot have multiples of the same number (such as 14463 or 12559).

4. When you hear "to continue," press * and hang up.

Checking Your Voice Mail

The red light on the back of your handset is the voicemail indicator light. When this light is on, it indicates that you have voicemail waiting.

To Check New Messages from Your Desk:

  1. On your phone, dial 7000 -OR- press the Messages button or the MSGS softkey on your phone.
  2. Enter your password and then press #.
  3. To check new messages, press 1.

Note: To get into the message quicker, press 7000, password, #1#.

To Check New Messages from Another Campus Phone:

Option #1

  1. Dial your 4-digit office extension.
  2. Wait until your voice mail greeting comes on and then interrupt it by press *.
  3. When asked for your ID, enter your 4-digit extension then press #.
  4. Enter your password and press #.

Option #2

  1. Dial 4444.
  2. Wait until your voice mail greeting comes on and then interrupt it by press *.
  3. When asked for your ID, enter your 4-digit extension then press #.
  4. Enter your password and press #.

To Check New Messages from Off-Campus:

Option #1

  1. Dial your office phone number (for example, 570-321-4000).
  2. Wait until your voice mail greeting comes on and then interrupt it by press *.
  3. When asked for your ID, enter your 4-digit extension then press #.
  4. Enter your password and press #.

Option #2

  1. Dial 570-321-4444.
  2. Wait until your voice mail greeting comes on and then interrupt it by press *.
  3. When asked for your ID, enter your 4-digit extension then press #.
  4. Enter your password and press #.

Additional Voice Mail Features

To Bypass the Greeting to Leave a Message:

If you are calling someone on campus and you want to by-pass their greeting and leave a message.

  • Press # as soon as their voicemail picks up and leave your message.

To Leave a Message Directly in a Subscriber's Mailbox:

  1. Follow the directions to access your voice mail box (See "To Check New Messages" above). You must be in your voice mail box menu to send a message to another person.
  2. When the system states "To send a message, press 2," press 2.
  3. The system will ask you to spell the name of the person you’d like to reach, press ## to switch it to ‘dialing by extension.’ Enter the 4-digit extension of the person you’d like to reach, then press #.
  4. The system will play the name of the person you are trying to reach, to confirm this name press #. To record a message, press # again.
  5. Message options, press # to send.

To Re-Direct (Forward) a Message:

You can re-direct (or copy) a message to another person on campus.

  1. While listening to a message, press # to skip over the message. The system will state several options.
  2. Press 5 to forward the message to another voice mail box.
  3. The system will ask you to spell the name of the person you’d like to reach, press ## to switch it to ‘dialing by extension.’ Enter the 4-digit extension of the person you’d like to reach, and then press #.
  4. The system will play the name of the person you are trying to reach, to confirm this name press #. To record an introduction to the message, press 2. To forward the message ‘as-is,’ press #.

To Transfer a Call Directly into Voice Mail:

  1. Press Transfer + 7000 (or your MSGS button) + # (pound) + 4 digit extension + # 2 + Transfer
  2. Quickly hang up. If you do not do this quickly enough, you will be thrown back into the voice mail system.

To Remove Yourself from the Voice Mail Directory Listing:

  1. Press 7000 (or your MSGS button)
  2. Enter your password, then #.
  3. In the main menu, select 4 for "Set-up Options."
  4. In the next menu, select 3 for "Personal Settings."
  5. In the next menu, select 3 for "Directory Listing."
  6. Press 1 for "Change Listing Status."

Voice Mail Shortcuts

Press During the Message

2 – Save or archive the message
3 – Permanently delete the message
7 – Rewind or move backward in the message
9 – Fast-forward through the message
# – Skip to the end of the message

Press After the Message

1 – Repeat the message
3 – Delete the message
4 – Reply to the message
5 – Forward the message
6 – Mark the message as "New"

Press 7000 (or your MSGS button) + Password + Press # + ____

411 – Change greetings
431 – Change password (security code)
432 – Change recorded name
Change to Alternate Greeting: 411 then press 2 then press 2 again

When Answering a Department Telephone the Procedure Will Be As Follows:

(State Name of Dept.) - (Then Your Name) – How may I help you?
Always try to answer calls by the third ring and in a pleasant and professional manner.
