Disciplinary Retention Policy
The Dean of Student
Affairs Office and Residential Life Office are jointly responsible for
administering the disciplinary records policy and overseeing the
management and storage of case files. Release of records to third
parties requires the student’s knowledge and written consent. For
additional information regarding the handling and releasing of records,
please refer to “Confidentiality of Student Records” in the Student
Policies Manual.
A. Disciplinary records for enrolled
or continuing students are maintained in paper format in the Residential
Life Office until the student graduates or separates from Lycoming
College. At that time, the paper record is transferred to the Office of
the Dean of Students where it is retained for a period of seven (7) years after
the the disciplinary action was taken. Paper records are then
destroyed at the next record expungment period (at the close of the
academic year). This procedure applies to all cases except those
involving sanctions of expulsion or dismissal. In these situations all
relevant case information and prior disciplinary records are stored
permanently. The Residential Life Office
maintains disciplinary records in computer format for a period of seven

years after the date the disciplinary action was taken. Appropriate
computer records are destroyed at the next record expungment period (at
the close of the academic year).
C. The Residential Life Office
maintains records of investigations into possible policy violations for
students who were subsequently exonerated. These paper records are
destroyed at the conclusion of the academic year.
D. A student or alumna/alumnus may
request, in writing, that the Dean of Student Affairs eliminate an
incident or incidents from his or her disciplinary record. The decision
to eliminate a record will be based on the violations(s), the
individual’s disciplinary history, and evidence of appropriate behavior
since the violation occurred. Expulsion or dismissal may not be
eliminated from a disciplinary record.
