This guide works for employees with the following model Cisco phones: 7961 and 7962.

Dialing Guide

From your office phone, you may place calls off-campus campus for work-related or personal reasons. To make personal calls, you must apply for a Telephone Access Code and all charges will be applied to your personal account.

For work-related calls:

  • On-Campus: Dial the 4 digit extension.
  • Calls within the 570 Area Code: Press 9 + 7-digit number.
  • Calls outside the 570 Area Code: Press 9 + 1 + Area Code + 7-digit number.
  • International Calls: Please contact the Office of Telecommunications for directions.

For personal calls:

*Remember, you must use a TAC number to make personal calls.*

  • On-Campus: Dial the 4-digit extension.
  • Calls within the 570 Area Code: Press # 9 9 + 7-digit number. You will hear “Beep Beep.” Enter your TAC number.
  • Calls outside the 570 Area Code: Press # 9 9 + 1 + Area Code + 7-digit number. You will hear “Beep Beep.” Enter your TAC number.
  • International Calls: Please contact the Office of Telecommunications for directions.

** Please note that after you dial 9 to get an outside line, you WILL NOT hear a dial-tone. However, it IS dialing. There is a 5 second pause before you hear the connection (for example, ringing or busy signal) on the other end of the line.

Voice Mail Guide

Checking Your Voice Mail

The red light on the back of your handset is the voicemail indicator light. When this light is on, it indicates that you have voicemail waiting.

To Check New Messages from Your Office:

  1. On your phone, dial 7000 -OR- press the Messages button on your phone.
  2. Enter your password and then press #.
  3. To check new messages, press 1.

Note: To get into the message quicker, press 7000, password, #1#.

Phone Shortcuts

Answering a Call

For phones with only one extension, simply pick up the handset.
For phones with multiple extensions, simply pick up the handset to answer calls on the primary (top) line.
To answer calls on other extensions, pick up the handset then press the blinking Line button that the call is on.

Placing a Call

For phones with only one extension, lift the handset and dial the number (remember use the “Dialing Guide”).
For phones with multiple extensions, lift the handset and dial the number to have calls originate from the primary (top) line.
To place a call on other extensions, pick up the handset then press the Line button associated with the extension you want to dial out on.

Putting a Call on Hold

Press the Hold softkey.
Press the Hold softkey again to reconnect.

Transferring a Call

While on the phone, press the Transfer softkey.
Dial the 4-digit extension you want to transfer to.
Press Transfer again or hang up.
Hang up.
If you need to retrieve a call mid-transfer (for example, if no one answers or it goes to voice mail), do NOT press Transfer a second time.
Press the End Call softkey to disconnect from the line you’re dialing to. To reconnect with the original caller, press either the Resume softkey – OR – the blinking Line button associated with the caller.

Call Forward

Press CFwdAll softkey.
Dial the 4-digit number you want to transfer to.
Forwarding calls directly to voice mail: Press CFwdAll softkey, then press the Messages button.
To undo call forward, press CFwdAll again.

Redial Last Number Called

Press Redial softkey.
Lift handset.

Retrieve Missed, Received, & Placed Calls

Press Directories button.
Highlight call type to view using the Navigation button and press the Select softkey.
Press the Select softkey.
Scroll up and down through the calls with the Navigation button.
Once the call is highlighted, you can get more information about the call (including date and time) by pressing the More softkey and then the Details softkey.
To exit the number listing, press the Exit softkey until you’re back to the main screen.

Set Ringer Volume

Press Volume button up or down.
Press Save softkey.

Changing the Ringer Sound

Press Settings button.
Press 1 for “User Preferences.”
Press 1 for “Rings.”
Select the line you want to change the ringer on. (If you have multiple extensions on your, use the Navigation buttons to scroll up and down.) Then press the Select softkey.
Use the Navigation buttons to scroll up and down through the ring options. Press the Play softkey to hear the ringtone.
Press the Select softkey to pick the ring tone.
Press the Exit softkey until you get back to the main screen.

Set Call Volume

While on a call, press the Volume button up or down.
Press the Save softkey.

Speed Dials

For your convenience, a limited number of speed dials can be programmed onto your phone by contacting the Telecom Office at extension 4074.
On your phone, direct lines are indicated by the icon: On hook. These are extensions you can call out from and pick up if they are ringing.
Speed dials are indicated by the icon: Speed dial. These are one-touch buttons to dial an extension or phone number.
