Listed below are a few helpful hints to help maintain your mailbox size:

Empty trash regularly - Check the setting under Tools, Options, Environment, Cleanup.  The default for emptying trash is automatic every 7 days.  This can be adjusted to fit your preference.  Note: Set the other two for mail, appointments, etc. to manual so that your mail is not automatically deleted.

 
  1. To manually empty your trash, right click the trash can icon and select empty trash.
  2. Maintain Sent Items folder - Many do not realize that every piece of mail that is sent is stored in your mailbox.  To view these, click on the Sent Items folder.  There may be some mail you need to keep in order to track correspondence, but you may be able to delete several sent items.
  3. Personal folders - If after managing the trash and the sent items, you still find you need to clear up some more space, check your folders.  You may need to archive information within them to free up space.  The archive will hold them in the same folder structure that they exist in currently.
  4. Attachments - Movies, music files, pictures, etc. can be saved on your F drive or locally.  Any attachment in general can take up a significant amount of your space allowed for e-mail.
