All Tutors & Study Group Facilitators (SGFs)

Submitting Reports and Hours

Following the College's two-week pay period schedule, turn in all tutor report forms, study group attendance sheets, and the ARC timesheet to the ARC (see dropbox in central waiting area) every other Monday. Submit hours on WebAdvisor by Monday as well. Notify Mrs. Wheeler of any late reports and/or discrepancies between reports and hours submitted. If you miss the deadline for submitting hours in a given pay period, notify Mrs. Wheeler. If anything looks suspicious on your time sheet, Mrs. Wheeler will "reject" it and ask you for an explanation before allowing you to resubmit your hours.

Academic Performance Standard

All current ARC tutors and SGFs must maintain a cumulative GPA of at least 3.0 to be eligible for continued employment by the ARC. This means that all potential tutors must also demonstrate a GPA of at least 3.0 to be eligible for employment. Exceptions may be granted on a limited basis for reasons related to academic performance patterns, demand for tutoring in a given subject area, availability of tutors in a given subject area, departmental selection of tutors, etc. When/if a tutor's cumulative GPA falls below 3.0, reinstatement may occur once that tutor's GPA rises to at least 3.0. At the end of each semester, Dean Bolt-Michewicz and Mrs. Wheeler will review GPAs of all current tutors and applicants for open positions to determine eligibility.

Rationale: The ARC has established this performance standard in order to maintain the quality and effectiveness of the peer tutoring and study group programs. Moreover, students who have a GPA on the low side should focus their efforts on and devote more time to their own academics.

Cap on Hours

ARC tutors and SGFs are limited to 15 hours of work over a two-week period. Exceptions will be granted for writing tutors due to on-call hours or for tutors in certain high-demand subjects. Tutors should consult with Mrs. Wheeler if they anticipate exceeding the cap or have already exceeded it in a given pay period.

Never tutor in a dorm room or non-public place.

Tutoring Classmates

The ARC will not pay you to tutor a student in your own class (a specific course in which you're both enrolled) unless arrangements have been made between the ARC, your professor, you, and the student. Consult with Mrs. Wheeler and your professor before responding to student requests falling under this category.

Group Tutoring Policy

The ARC highly values and encourages one-on-one tutoring, but you may arrange for group tutoring sessions when necessary or appropriate. After a group tutoring session, record the session on a single tutor report form, but please have all participants print AND sign their names on the back of the sheet (like a sign-in sheet). On the front, make a note saying, "Group session - See reverse." The ARC will process a separate report for each participant; however, when submitting your time on WebAdvisor, you will treat a group session like a one-on-one session. For example, if you work with a group of 5 students for 1 hour, you can only submit an hour, not 5 hours.

Late or Absent Tutees

If a student misses an appointment with you more than once or is frequently late to appointments, tell the student you can no longer tutor him/her. The same goes for students who are clearly disrespectful and/or rude to you. Payment policy: If a student is at least 15 minutes late to an appointment for a second time, you may submit that time on WebAdvisor. Fill out a tutor report form as well, explaining the situation.

SGFs Only

Even if no one shows up to your study group session in the first 15 minutes or so and you don't expect anyone to come after that point, remain in your assigned classroom for the entire hour just in case. Bring work with you to do while you wait. If attendance remains low as the semester progresses, consult with Mrs. Wheeler.

Writing Tutors Only

“Drop-in” vs. “Drop-off” Tutoring

We’re a drop-in service, meaning students do not need to make an appointment before coming. We are not, however, a drop-off service; students cannot drop off a paper and pick it up later. We value collaborative, interactive learning. When a student asks about dropping off a paper, kindly clarify how our service works: “Oh, I’m sorry; that’s not how we do things here. The best way I can help you is to talk over your paper with you.”

Tutoring Outside of the Writing Center

Only tutor someone when he/she can't make your regular tutoring hours or is desperate and you happen to have the time. Fill out a report form and enter the information into the database during your next shift. Don't accept e-mailed essays with the request to "please look over it." Insist that the student meet one-on-one with you for tutoring either during your regular hours or outside of the Writing Center if necessary. That's the kind of face-to-face tutoring we want to uphold. The student must be present and actively engaged, not passively letting you "fix" the paper.

Using the ARC Printer

When a student asks you to read an electronic (laptop) version of a paper instead of a hardcopy, you can either go ahead and use the laptop or print out the paper using the ARC printer. Then stress to the student that he/she should bring a hardcopy next time. Always ask Mrs. Wheeler before printing any of your own papers, articles, etc.

How to Calculate On-Call Hours for Payment

Looking at the on-call schedule, consider the time range of each of your assigned on-call shifts—somewhere between 1 and 4 hours each. If you aren’t called in during a given on-call shift, then you will divide the shift in half and submit that time. This 50% pay rate is for waiting by the phone, and we do expect you to be alert, free, and near your phone.

If you are called in some time during that on-call shift, then submit the time you actually worked, plus half of the remaining time for that shift.

When called in, stay for the rest of your on-call shift, even if WC traffic decreases—just to be safe.

Example: Chris is on call Thursday night from 8-10 (2-hour shift). If he is not called in, he will submit 1 hour for payment. If he is called in at, say, 8:30 and works till 10:00 when the WC closes, he will submit 1.5 hours for the time he worked, plus 15 minutes (half of the first unworked 30 minutes of his shift).

Round up as necessary for easier calculation, but use a sense of judgment and fairness, remembering that the ARC works on a budget.
